What the customer sees on a change order

See the change order email and signing page your customer gets, what each button does, and how to help them if something goes wrong.

When you send a change order for signature, the customer gets an email with a link to a one-page form. They read the change and the amount, sign with a finger and approve, or decline. No account or password is needed, and it works on a phone.

Before you start

  • Change orders are on every plan.
  • You send them from the job's Change orders tab with Send for signature. See Change orders.
  • The customer needs an email address on file.

The email

  • Subject: Change order CO-1001 needs your approval (with the real number).
  • The job name, your Description, and the Amount.
  • A Review & sign button that opens the signing page.

The signing page

The page shows your logo and company name, then:

  • "Change order CO-1001 · Job J-1001"
  • The job name as the heading
  • Your description of the change
  • The amount. A credit shows with a minus sign, like −$150.00.

If the change order is still pending, below that is the form:

  • A name field, already filled with the customer's name. They can change it if someone else signs.
  • Sign here, with Clear to start over.
  • Two buttons: Approve and Decline.
The customer clicks They need They see In SlabBoard
Approve Name and signature "Change order approved. Thank you!" Status Approved, with signer and date. Added to the job total and the final invoice.
Decline Nothing "Change order declined." Status Rejected. Not billed.

If they click Approve without signing, they see "Please sign in the box."

After answering, the page says "This change order is approved by {name}." or "This change order is rejected." The buttons are gone, so they can't change their answer. If they declined by mistake, create a new change order and send it again.

At the bottom, Back to your job opens the customer's job page.

On the customer's job page

The customer's job page (the link in … → Open customer portal on the job) lists pending change orders under Change orders awaiting your approval, with number, description and amount. Each one opens the same signing page. Once approved or declined, it leaves that list.

Things to tell your customer

  • The link doesn't expire. They can sign from the email any time while it's pending.
  • They see the latest version. If you edit a pending change order, the same link shows the new description and amount. Let them know before they sign.
  • You won't get an alert when they sign or decline. Check the job's Change orders tab, or ask them to call you.
